Regular business deliveries: how to organise them?

When deliveries recur every week, or even every day, good organisation saves time for everyone: your business, your customers and the carrier. Here is a simple method for structuring regular business deliveries.

What are your actual flows?

Start by observing your deliveries over a few weeks:

- how many deliveries per day or per week; - to which destinations and municipalities; - what volumes and types of goods; - which days are busiest.

This analysis distinguishes regular flows, which are easy to plan, from one-off needs that will continue to be handled case by case.

How to group deliveries into rounds?

A round groups several delivery points in a logical order. Grouping destinations by geographical area limits empty journeys and makes schedules more predictable. In Luxembourg, for example, a round can cover an area around the capital one day and the south of the country another day, depending on your volumes.

Which time slots and procedures should be set?

Consistency relies on rules known to everyone:

- fixed delivery slots or time windows for each customer; - a contact person at each address; - a handover procedure: signature, delivery note, photo; - instructions if the recipient is absent.

These details prevent unnecessary exchanges and missed deliveries.

What information should be provided to the carrier?

For smooth handling, provide the carrier with an up-to-date list of deliveries to be made, including addresses, contacts, number of parcels and access constraints. A fast communication channel, telephone or messaging, allows last-minute changes to be reported.

How can the arrangements evolve?

Review regularly with your carrier: difficult deliveries, time slots to adjust, new customers to incorporate. A regular arrangement is not fixed; it adapts as your business evolves.

KENKENY S.A. provides regular delivery rounds and local distribution in Luxembourg, under arrangements defined with each business.
